Project Coordinator
Summary: Primary point of contact between KNA and its customers for all project related matters such as sample requests, order status, scheduling and shipping, from receipt of purchase order through until completion of contract. Responsible for maximizing customer satisfaction through efficient order processing and prompt, clear, professional communication. Initiates and manages the collection of submittals and all other project critical information. Conducts detailed review of quotation, purchase order and order acknowledgement for consistency and alignment. Creates sales order in SAP and synchronizes job record in Salesforce. Resolves any subsequent conflicts in order documentation as per established SOP's and updates SAP and Salesforce in a timely manner with all amendments or change orders. Proactively uses Salesforce as the primary tool for maintaining all project information and managing job progress. Serves as not only the customer contact for any given project, but also the internal contact with KNA Estimating, Drafting, Operations and Finance departments.

Essential Duties:

o Work collaboratively with all internal resources to ensure the highest levels of customer satisfaction are maintained

o Maintain project tracking in Salesforce, monitor deadlines and scheduling requirements

o Convey accurately to Scheduling, customers delivery requirements

o Maintain all project information and documentation in Salesforce

o Responsible for supporting the project manager and other project resources during the course of the project lifecycle

o Perform other duties as assigned by supervisor

o Prepares documents including customized reports, presentations, proposals and correspondence.

o Respond to customer calls providing project updates and handling customer needs in a confident, professional manner

o Manage and maintain job order files ensuring all relevant paperwork is sent to and received from customers; following up as necessary

o Prioritizing job administration to meet customers' delivery dates

o Maintain departmental EIR spreadsheet and other excel report

o Create professional written correspondence to customers, both internal and external

o Ensure all project close out documents (warranties) are sent to customers


o Bachelor's degree preferred; Associates degree minimum

o 3-4 years' experience working with customers within a manufacturing environment

o Ability to coordinate multiple projects under tight deadlines while dealing with the stress of a very fast-paced environment

o An understanding of architectural drawings and construction methods would be advantageous

o Excellent time management, organizational and follow-up skills

Computer Skills:

o Must be proficient in all Microsoft Office applications (Word, Excel, Power Point) and Outlook

o SAP or other equivalent ERP software knowledge is a must

o A working knowledge of Salesforce is desirable

Other Skills and Requirements:

o High level of interpersonal skills

o Good to excellent spelling, grammar and written communication skills.

o Excellent telephone and oral communication skills.
